How to connect WhatsApp for Business

You can manage your WhatsApp Business Account conversations directly from Rookoo. To connect your WhatsApp number, Rookoo supports the Embedded Sign-up method.

Embedded Signup is a guided flow powered by Meta that auto-configures your number, webhooks, and tokens.

This guide helps you through the setup of the WhatsApp account with detailed step-by-step instructions.

Prerequisites

  • Meta Business Account access (full control preferred)

  • Meta Business Verification Verified (not a must, but this will have to be completed afterwards)

  • A valid phone number*

  • A active Rookoo subscription

Important: The number cannot be tied to another (existing) WhatsApp number unless you have discussed a migration with your Account Executive as part of the commercial agreement. E-sims can be used.

Connecting WhatsApp

  1. Log into your Rookoo account.

  2. Navigate to Settings › Inboxes › Add Inbox.

  3. Choose WhatsApp as the channel.

Select Connect with Whatsapp Cloud (Embedded Signup)

After clicking Connect with WhatsApp Business you will be redirected to Meta's Embedded Sign-up flow. You need to log in with you Facebook account follow the steps by Meta:

In the next step choose your Business Portfolio. This is the Facebook Business Manager that will be connected to the WhatsApp number. Ensure you have enough permissions to complete the setup. Alternatively ask you administrator to complete the steps.

Choose "Create a WhatsApp Business account" from the dropdown menu

Complete the Business Information step. Choose the category that suits your business best. Fill the website and choose the correct timezone. Alternatively, you can click on Show More options to complete a Business Description, however you can also do this afterwards in the Business Manager.

Next up is adding the phone number. Choose "Add a new number" and fill in the number that you want to use for WhatsApp. It's important that this number is not an existing WhatsApp number unless you have migrated the number properly.

Add the number and Facebook will send you a verification message. In the next step you will have to enter the verification code and you will complete the setup.

After completing the steps you will be re-directed to Rookoo's platform and this will prompt the configuration steps for the Inbox.

You do not have to add any agents. You can leave this blank and simply click the button add Agents.

And that's it, well almost at least. Your WhatsApp Business is now connected to the Rookoo platform. You can click "Take me there" to direct you to the inbox of the WhatsApp channel.

WhatsApp Business verification and compliance

After connecting everything you will still be under review by Facebook and your WhatsApp Business account will not be immediately active.

  • Business verification: Upload legal documents if Meta prompts during or after signup

  • Display name review: Ensure the WhatsApp display name matches branding guidelines to prevent rejection. This can take between 3 - 48 hours max.

After you have been verified it's time to complete your entire Business Profile in the WhatsApp Business manager (in Facebook Meta Business Suite) and add a payment method incase you want to use Message Templates?
